Whether it’s a job change, retirement or parental leave: a farewell email to colleagues is simply part of good manners. However, the wording can vary depending on the occasion and type.
To ensure that you always find the right words, we have collected some principles and wording aids for you to use as a guide when writing your own farewell email.

Farewell email to your team: examples and recommendations
There are many reasons why someone leaves their previous job, either temporarily or permanently. However, this does not only mean a change for the person leaving, but also for all colleagues from the work environment.
With a positively worded farewell e-mail, you set a deliberate closing point and leave a good impression. This aspect in particular should not be neglected, because you may meet your colleagues again in the course of your professional life.
When writing your farewell email, you should take these four basic tips to heart:
1. choose a sympathetic subject
To draw your colleagues’ attention to your email, choose a subject line that is as appealing as possible, and feel free to be somewhat humorous. Dialects, dialects and foreign languages do a good job here, such as:
- Servus, dear colleagues
- Adieu, Adios and Goodbye
- Auf Wiedersehen and all the best
- Arrivederci and thank you
- I say thank you and goodbye
- All the best and thank you
- I say goodbye to parental leave
- Time to say goodbye
- I’m off then
- Thank you and all the best
- My last working day is coming closer
- Goodbye and thank you
2. make sure you get the timing right
Send your email to your supervisors and your team members at least a few days before you leave. Especially if you’re planning a drink or small event to mark the end, give your colleagues time to mark the date or even get a parting gift for you. On your last day of work, you can additionally send out a reminder about the walkout.
3. choose the right distribution list
In small companies, you should generally inform and invite all employees – even if not everything has always gone perfectly with everyone. If you work in a larger company, limit yourself to your department and people with whom you have regularly spent the break, for example.
4. use a friendly and collegial tone.
Overly negative just like exuberant has no place in your farewell email. Stay authentic and choose words that suit you and the situation.
Retirement farewell e-mail: friendly and serious
Even if saying goodbye is difficult, you should not get too emotional. To keep everyone unbiased during your walkout, keep the email friendly and rather businesslike in tone. A good idea iIt is also possible to inform individual or all team members of your new or private e-mail address so that you can still be reached, for example, for invitations. Example:
Goodbye and all the best
Perhaps word has already spread that I will be retiring at the end of the month. I would like to sincerely thank you all for the good cooperation and the wonderful time. I have come to know you as collegial and likeable people and wish you all the best for the future.
I would like to invite you to a farewell dinner on my last working day, May 31. Details will follow. You can reach me at my private e-mail XYZ from now on.
See you around – I would be pleased.
Warm and collegial greetings
Farewell email maternity leave: informative and humorous
A joyous occasion is the farewell to maternity leave or parental leave. Ideally, you formulate the text in such a way that your colleagues know that you may be returning to the company. At the same time, you can introduce your replacement:
I am saying goodbye to parental leave
As you can easily see, I will soon be swapping my desk for a changing table. Therefore, I will go on maternity leave from 05.05. (until probably 2023).
On this occasion I would like to say goodbye to you (for the time being). My replacement is a new colleague, Mrs. XY. On 04.05. I plan my retirement and Ms. XY her debut with a small celebration in the conference room. Anyone who has time and would like to join us is welcome to do so starting at 16:30. Please bring plates, cutlery and a glass.
We are looking forward to seeing you!
Job change: farewell email text
Regardless of why a job change is pending, an employee is generally well advised to formulate the text of the farewell email in a friendly and factual manner. After all, it is always possible that professional paths will cross again at some point. The following letter can serve as a template:
My last working day is approaching
After a pleasant and instructive time at the company, I will now be devoting myself to new professional challenges. As some know, my last day of work is next week Friday and therefore I would like to say goodbye to you.
I would also like to take this opportunity to thank you for the excellent teamwork and the trustful cooperation. The project work with you has been a lot of fun.
If you have any questions, I will still be at your disposal after the changeover.
I wish you all the best and much success.
Farewell email last working day: funny and informal
Even if the occasion is not a cause for joy in every case, almost everyone is happy to receive a funny farewell email. References to songs, aphorisms, and local circumstances can help give the mail a humorous touch, as in the following example:
I’m off then
Dear friends, dear co
lleginnen und Kollegen, liebe Jecken,
in Kölle sagen: Allet hat ein Ende, nur die Worscht hat zwei. My work at XY-AG is now also coming to an end. My last working day will be on February 3rd.
It was nice with you, and therefore I would like to invite you to a little drink. Something to eat will be provided as well. It will start at 13:00 in the meeting room. Please bring plates, cutlery and a glass.
I am looking forward to seeing you!
Farewell email to clients and customers
farewell email to your clientele should be informative, factual and friendly in tone. It shows a high level of professionalism to make it as easy as possible for customers to switch to a new contact person. Your letter could look like this:
All the best and thank you!
Dear Ms. XY,
as already announced by telephone, my last working day at XY-AG will be on 30.06.22
. I would like to take this opportunity to thank you.
I would like to take this opportunity to thank you for the pleasant cooperation over the past years.
In the future, my projects will be taken over by Mr. XY, whose contact details you will find below: (e-mail, phone). My colleague will contact you personally in the next few days.
I wish you a successful cooperation and all the best!
Conclusion: The farewell e-mail is part of good manners
An appreciative, stylish e-mail, in which a “thank you” must not be missing in the right place, is simply part of leaving a company. If you formulate your farewell e-mail appropriately for the occasion and remain authentic, your farewell will also be a “well-rounded affair” and you will be well remembered by colleagues, superiors and customers. And who knows, maybe your professional paths will cross again in the future.
